CHOiCE Recovery Coaching is seeking temporary, part-time Operations/Admin Support to provide interim day-to-day administrative and operational coverage. This role focuses on continuity of core operations, timely follow-through on priority tasks, and clear communication with internal staff and external partners. The Operations/Admin Support position helps keep training operations running smoothly, maintains accurate operational records, supports billing and payroll coordination (with director approval), assists with vendor and scheduling needs, and documents open items to support a smooth handoff during the leave period and upon return.
Position Details (Temporary/Part-Time)

Schedule: Part-time (approximately 14-24 hours/week); typical business hours coverage required.

Duration: Temporary position to cover employee leave (estimated 10-12 weeks), with possible extension based on organizational needs.

Start date: As soon as possible.

Work setting: on site in coordination with CRC leadership.
Position Responsibilities

Provide day-to-day administrative and operational coverage to ensure continuity of services during an employee leave.

Keep operational records, trackers, and basic reports updated; support data accuracy, timely updates, and confidentiality.

Support time-sensitive financial operations (e.g., accounts receivable support, invoice preparation, payment tracking, and payroll coordination) by preparing required documentation and drafts for director review and approval, in accordance with CRC processes and timelines.

Support training program logistics from registration through completion, including participant communication, scheduling, and payment processing.

Provide friendly front-line administrative support for internal staff and external stakeholders; help triage requests and route items as needed.

Help coordinate meeting logistics as assigned (calendar invites, materials, notes); track follow-ups and action items.

Assist with vendor communications and routine operational requests (e.g., scheduling, renewals, invoicing support) and escalate items as appropriate.

Use CRC software tools (e.g., spreadsheets, databases, scheduling platforms) to support routine reporting, tracking, and special projects as time allows.

Follow established workflows; flag issues that need attention and document procedures and open items to support a smooth transition and handoff upon the temporary assignment

Help ensure day-to-day work aligns with Choice Recovery Coaching operational standards and data management protocols.

Other operational duties as assigned within the temporary, part-time scope of the role.
Qualifications:

2-3 years of operations, administrative, or business support experience (nonprofit and/or healthcare-adjacent operations a plus)

Ability to onboard quickly, follow established processes, and maintain continuity of essential operations

Strong organizational skills and attention to detail; ability to manage multiple priorities within part-time hours

Excellent project coordination and follow-through; comfortable tracking tasks, timelines, and action items

Discretion and professionalism handling confidential operational and financial information

Strong verbal and written communication skills for cross-functional collaboration and participant-facing coordination

Proficiency with Microsoft Office Suite 365, SharePoint and common operational tools (e.g., spreadsheets, databases, scheduling platforms)

Problem-solving skills and sound judgment, including knowing when to escalate issues

Availability to work the agreed-upon part-time schedule consistently for the duration of the temporary assignment
